Privacy Policy

Hi, we're Big NC Tennis & Pickleball, a local tennis and pickleball coaching business run by Big NC Tennis LLC in Holly Springs, North Carolina. This policy covers all of our websites and our Player Profile app, plus anything you send us by email or WhatsApp. Our sites are bignctennis.com, bigncpickleball.com, mobileracket.com, wakecountyflex.com, toptennisstrings.com, toptennisnews.com, pickleballwire.org, kidsfirstracket.com, tenniscoachgear.com, beginnerpicklekit.com, stringtensionguide.com, practiceballguide.com and bigncai.com.

The short version

• We only collect what we need to run classes, lessons, events and stringing, and to answer you.
• We never sell your information or use it for targeted ads.
• Kids don't sign up with us. A parent or guardian gives us any info about a child.
• You can ask to see, fix or delete your info any time.

What we collect

• What you tell us: your name, email, phone number, the player's name and age, skill level, the program you want, and anything you write to us. For stringing, we also collect your racket, string choice and pickup or drop-off details.
• Payments: card payments go through Stripe. We see your name, email, the amount and what you bought. We never see your full card number. If you pay by Zelle, Venmo or cash, we keep a simple record of the payment.
• Programs run by others: Town of Fuquay-Varina and Harnett County programs are registered through their own systems. Tournaments and leagues are registered on UTR Sports. They collect your registration info under their own privacy policies and share rosters with us so we can coach.
• Photos and video: we only use these with permission. See the photo choice in our Participation Waiver. If you send us a video for a coach review, we use it only for your review unless you tell us otherwise.
• Website basics: our sites use Cloudflare Web Analytics, which counts visits without advertising cookies. Our host, Netlify, keeps standard security logs like IP address and browser type. Some pages load Google Fonts, which shares your IP address with Google.
• Store links: when you click a link to Amazon or another store, that store may use its own cookies. Its privacy policy applies there.

How we use it

We use your info to schedule and coach, take payments, send class updates and weather calls, string rackets, answer questions, keep players safe, and keep the records the law requires. We only send news or offers if you've asked for them, and you can unsubscribe any time.

Email and WhatsApp

We talk with families by email and WhatsApp. Our number, 910-403-7367, is for WhatsApp messages only. Some programs have WhatsApp groups. In a group, other members can see your name and phone number, so only join if you're comfortable with that. You can leave a group any time and still get updates from us by email. If you'd like us to stop messaging you, just say so.

Who we share it with

We share only what's needed, and only with:

• our coaches, for the players they coach;
• the companies that help us run Big NC: Stripe (payments), Netlify (website and app hosting), Google Workspace (email and files), WhatsApp (messaging), Cloudflare (website analytics), and the email service that sends Player Profile sign-in links;
• the Town of Fuquay-Varina, Harnett County or UTR Sports, when you're in one of their programs or events;
• anyone the law requires, or someone who needs it to protect a person's safety.

We don't sell or rent personal information.

Children's privacy

Our websites are for parents, guardians and adult players. They aren't meant for children under 13, and we don't knowingly collect personal information directly from children under 13. Kids shouldn't fill out our forms or message us without a parent. If you think a child has sent us information, email admin@bignctennis.com and we'll delete it.

When a parent signs up a child, we keep only what helps us coach safely: name, age, skill level, the parent's contact info, and any health or emergency info the parent chooses to share. Parents can review, fix or delete their child's information at any time, and can ask us to stop collecting it.

Player Profile app

The Player Profile app is a private family portal. Only parents, guardians and Big NC coaches can sign in. Kids don't get accounts.

• What's in it: the player's name and birth year, linked parent emails, ratings and rankings (with source and date), video links you paste, coach comments and reviews, goals, coach notes, stringing and racket history, and rewards progress.
• Consent first: nothing about your child shows up until a parent signs the consent form. You choose which parts to turn on. We save your typed name, your choices and the date.
• Video: we don't store video files, only the links you paste. Anyone with a SwingVision or unlisted YouTube link can open it. A Google Drive file shared to specific emails is the most private option.
• Who sees it: you, any other parent you ask us to link, Cole and your child's assigned coaches. Nothing in the app is public.
• Your controls: you can download your child's data, withdraw consent (the profile is hidden right away), or delete the profile any time from the app's Privacy page.

How long we keep it

• Family and player info: while you train with us. We delete it within 2 years after your last program or contact with us.
• Website form messages: up to 1 year.
• Player Profile accounts: reviewed for deletion after 12 months without use. If you ask us to delete one, it's gone within 30 days.
• Payment and tax records: 7 years, as tax rules require.
• Signed waivers and injury reports: until the player turns 21, or 3 years after the program, whichever is later.

Keeping it safe

We limit who can see player info, use services with strong security, and never ask for card numbers by email or message. No system is perfect. If a breach ever affects your personal information, we'll tell you as North Carolina law requires.

Your choices

Email admin@bignctennis.com to see, fix, download or delete your info, to withdraw consent, or to stop messages. We'll reply within 30 days, usually much sooner.

Changes

If we update this policy, we'll change the date at the top. For big changes, we'll let current families know by email.
